Logistic / Administration / Finance Assistant -  Based in Mansehra

General Objective of the posting:

Ensure smooth functioning of the field office in Mansehra by being responsible for all administrative, financial and logistic activities.

Reporting Lines:

Immediate Supervisor:                                Head of Mansehra Office

Functional (Logistic/Administration):         Logistical Manager Islamabad

Functional (Finance):                                  Finance officer Islamabad

Specific Objective:

  • To assist Head of Logistics in all Logistic functions, including ware housing, transport, security and asset tracking. (update the inventory of fixed assets and consumables).
  • To assist in the monitoring and supervision of the drivers, guards and office helpers.
  • To keep records of documentation of vehicles, and to check the logbooks.
  • To assist in local transportation of project materials from Mansehra to project sites.
  • To carry procurement of daily office necessities and the purchasing of small items.
  • To deal with all problems concerning telephone lines, telephone/fax, E-mail, electricity, water and gas supply, etc.
  • To report to the Head of Logistics, financial reporting and settlement of accounts with Islamabad Finance Department on weekly basis.
  • To assist finance officer in Islamabad in financial management of Mansehra Office.
  • To make daily payments and keep documentary record.
  • To maintain daily cash book and cash flow management
  • Keep track of the funds transferred and spent.
  • Maintain a filing system for all financial, logistics and administrative documents.
  • To carry out any other relevant duty as requested by immediate superior.

Qualifications / Skills:

  • University degree preferably in finance.
  • At least 2 years working experience in logistic/administration support preferably in the humanitarian sector. (work experience Mansehra is desirable)
  • Must have knowledge of different logistical and financial processes and be able to work with minimum supervision.
  • Proven experience in office administration.
  • Experience with relevant computer software packages (work, excel)
  • Fluent in English and relevant local languages.
  • Communicative, systematic, accurate and open.
